Classlink Rostering

How Rostering Works

Context: By making the switch to Classlink, Education Modified will be able to automatically sync roster information nightly. Please note that while rosters are synced with Clever, additional customized groups can be created within EdMod with the new Custom Group Feature. This would work well for paras, related service providers, or anyone who may not be assigned a class but needs student access.

The rostering logic that Education Modified uses is the following:

  • Each of your non-admin staff members will have access in Education Modified to all students assigned to the courses to which the staff member is assigned to in Classlink / your SIS. These students will be grouped by the courses they are part of. 
  • Each Building / School Administrator will have access in Education Modified to all students in the schools they are listed as Administrators for within Classlink / your SIS. These students will be grouped in ‘All Students - [School Name]’ groups within EdMod. 
  • Each District Administrator will have access to Education Modified for all students in the district. These students will be grouped in ‘All Students - [School Name]’ groups within EdMod. 

We recommend reviewing the following considerations before switching to using Classlink with Education Modified, and work with your Systems Administrator to make any needed changes to rosters in your SIS or Classlink to ensure a smooth transition. 

Important Note: Currently, Classlink does have support for adding or updating roster information beyond what is received from your SIS. So, any changes needed based on the considerations below would need to be made within your SIS. Please contact your Systems Administrator and/or dedicated Classlink Support Contact with any specific questions about how rosters are synced and maintained within Classlink.

In the rosters you are currently sending to Education Modified, are all students identified with universal IDs?

Universal IDs make the process of matching students between systems far more timely and accurate. If universal IDs are not currently being used in your Education Modified roster, we may request that information during the matching process enumerated above. 

Are your Courses and Groups within EdMod highly customized and/or different from the Courses which live in your Classlink / SIS?

If so, you will need to review your Classlink / SIS courses to ensure that staff members will have access to their needed students, according to the logic listed above. 

Do all of the staff members who need access to Education Modified have access to your SIS and/or Classlink? 

This question is particularly relevant for Case Managers, Paraprofessionals or other staff members who may not have traditional rosters within your SIS or Classlink. If not, they will need to be granted access and rostered appropriately to ensure they have access to the correct students. 

Do all of the staff members who need access to Education Modified have access to your Classlink Launchpad? 

If not, they will need to be granted access in order to log into Education Modified. 

Are all of the staff members who need access to Education Modified assigned to courses within your SIS and/or Classlink? 

Similar to the other considerations, this may be the most relevant for Case Managers or Paraprofessionals. If not, it is recommended that the EdMod Custom Group feature should be used to create customized groups. Please see the Custom Group Feature article HERE.
