Summer Planning: Canvas Rostering Expectations

Understanding how rostering works between Canvas and Education Modified is especially important during the transition between school years. This guide outlines what to expect, how to sync your data, and what to do if you need access to information during this time.


What to Expect Over the Summer

During the summer transition period:

  • Rostering is typically paused as districts prepare for the upcoming school year.
  • Existing students and courses may temporarily disappear from Education Modified. This is expected behavior and occurs until new rosters are finalized and published in Canvas.
  • Student data is not deleted or lost during this time. If a student is no longer rostered, their information is simply not visible. Their data will reappear once they are rostered again for the new school year.

Once the new school year data is published, courses and students will begin to reappear after syncing.



Authorize & Manual Sync

To ensure your data is up to date:

  • Confirm your Canvas integration is authorized by clicking the Authorization button.
  • Once courses are published for the new school year, run a manual sync in Education Modified.

This will pull in the most recent data from Canvas and update your courses and student information accordingly.


What You Should Expect to See

After rostering is complete and a sync has been run, you should see:

  • Current school year courses
  • Students rostered in those courses
  • Any staff tied to those courses

If rostering has not yet been published, it is normal to see limited or no data.


Need Access to Students?

If you need access to student data but do not see students in Education Modified:

  • You may not be rostered to those students in Canvas
  • Reach out to your Customer Success Manager (CSM) to request access

Your CSM can help ensure you are properly rostered so you can view the necessary data.
