Summer Planning: FACTS Rostering Expectations

Overview

Understanding how rostering works between FACTS and Education Modified is especially important during the transition between school years. This guide outlines what to expect, what data you will see, and what to do if you need access to information during this time.

What to Expect Over the Summer

During the summer transition period:

  • Rostering may be paused as schools prepare for the upcoming school year
  • Existing students and courses may temporarily disappear from Education Modified. This is expected behavior until new rostering data is published or re-enabled in FACTS
  • Student data is not deleted or lost during this time. If a student is no longer rostered, their information is simply not visible. Their data will reappear once they are rostered again for the new school year.

Once rostering resumes or the new school year data is available, students and courses will begin to reappear.

What You Should Expect to See

Depending on the status of rostering, you may see:

  • Current or previous school year courses
  • Students rostered in those courses (if rostering is active)
  • Limited or no data if rostering is paused

If rostering has not yet resumed, it is normal for data to appear incomplete or missing.

Need Access to Students?

If you need access to student data but do not see students in Education Modified:

  • Rostering may still be paused or not yet published in FACTS
  • You may not have the correct permissions or access to those students

In this case, reach out to your Customer Success Manager (CSM) to request access or assistance retrieving the information you need.

Key Takeaway

Changes to rostering during the summer can temporarily impact what you see in Education Modified. Once rostering resumes, your data will return. If access is still missing, it is typically due to rostering or permissions.
