Summer Planning: Standalone Rostering Expectations

Overview

Standalone rostering in Education Modified relies on files provided by your district/school rather than an automated integration. Because of this, there are specific expectations around timing, formatting, and updates—especially during the transition into a new school year.

What to Expect Over the Summer

During the summer transition period:

  • Rosters are typically prepared and submitted in phases as the new school year is built out
  • Education Modified includes up to three complimentary roster updates to support this process between June 1 - October 1

These updates generally follow a predictable pattern:

  1. Initial Roster (First Draft)
    • A preliminary set of courses, students, and staff for the upcoming school year
    • Used to establish the base structure in Education Modified
  2. Pre-School Year Update
    • Reflects enrollment changes, new teachers, and staffing updates
    • Typically submitted shortly before the school year begins
  3. Post-Start Update
    • Captures add/drop changes and course adjustments after the school year starts

What You Should Expect to See

After each roster upload, you should see:

  • Updated courses for the current school year
  • Students are enrolled in their correct courses
  • Staff assigned to appropriate courses

Keep in mind that data accuracy depends entirely on the information provided in each roster submission.

Expected Roster Format

  • Rosters must be submitted in a CSV (Comma-Separated Values) format
  • Files should follow the required Edcation Modified structure for students, courses, enrollments, and staff

Here is an example of a roster sheet

What is Required in Each Roster

Each roster file should include complete and accurate data for:

  • Students
  • Courses
  • Staff
  • Admin Indicator (put an X in the corresponding column to indicate admins of the Edcation Modified platform)
  • Enrollments (student-to-course and staff-to-course relationships)

Important: Universal ID Requirement

  • Every student must have a consistent and unique Universal ID
  • This ID is used to match and update records across multiple roster uploads
  • Changing or reusing IDs can result in duplicate records or lost data history

Key Takeaway

Standalone rostering is a multi-step process that evolves as your school year approaches. Accurate data, consistent IDs, and timely updates are critical to ensuring a smooth experience in Education Modified.
